Job Purpose

The job holder supports the Buyer in all aspects of product sourcing, vendor management, and inventory control. The role involves assisting in vendor negotiations, tracking inventory levels, and conducting market research to ensure the company’s product offerings are competitive and aligned with customer demand.

Responsibilities & Duties 

 Selection Support & Vendor Coordination:

·        Assist the Buyer in coordinating with vendors for product orders, sample approvals, and timely deliveries.

·        Maintain accurate and up-to-date records of vendor contracts, pricing, and product specifications.

·        Support the Buyer in the selection of products that align with the company’s brand and financial goals.

·        Assist in the preparation of product assortment plans and seasonal range plans.

Market Analysis & Trend Monitoring:

 

·        Conduct market research to identify emerging trends, competitive pricing, and potential new vendors.

·        Provide insights and recommendations to the Buyer based on market analysis and customer feedback.

·        Work closely with the Design Centre, Marketing, and Supply Chain teams to ensure seamless coordination of product launches, promotions, and inventory management.

Provide administrative support to the Buyer in meetings, presentations, and reporting


Inventory Management & Performance Reporting:

·        Monitor stock levels and report discrepancies to the Buyer, ensuring optimal inventory levels are maintained.

·        Assist in preparing purchase orders and coordinate with the supply chain for timely replenishment of stock.

·        Track and analyze the performance of purchased products, including sales data, customer feedback, and inventory levels.

·        Prepare and present regular reports to the Buyer, highlighting key insights and areas for improvement.

Receivable Accountant

Job Purpose

 

To manage the accounts receivable (AR) function for retail store transactions, ensuring accurate processing of store payments, reconciliation of cash and card sales, timely reporting, and adherence to financial and operational controls.

 

     Reconciliation of Store Receipts & Sales:

  • Reconcile daily sales receipts (cash, credit card, mobile payments) from retail stores with the POS system.
  • Ensure accurate recording of daily sales transactions in the accounting system.
  • Investigate and resolve discrepancies between POS reports and recorded sales.
  • Monitor sales data from stores to ensure all revenue is captured correctly and on time.

Cash & Card Receipts Management:

  • Reconcile cash deposits and credit card receipts from retail stores against bank statements.
  • Ensure timely and accurate posting of cash and card transactions into the general ledger.
  • Collaborate with the treasury team to track and monitor bank reconciliations and cash deposits.
  • Prepare daily and weekly reports on store receipts for management review.

Audit & Compliance:

  • Prepare AR-related reports for management and auditors, including aging reports and cash flow forecasts.
  • Ensure compliance with company policies regarding cash handling, store receipts, and payment methods.
  • Support internal and external audits by providing necessary documentation and reconciliations.
  • Implement process improvements to enhance AR efficiency and minimize risk.
  • Regularly review and update AR procedures to align with changes in store operations or payment methods.
  • Support retail operations by providing financial data and reporting on store performance.

Quality Control Inspector

  Job Purpose

To ensure products meet quality standards by conducting thorough inspections and tests throughout the production process, identifying any defects or deviations, and reporting them to the Quality Control Head. 

Responsibilities & Duties 

Conduct Inspections & Documentation:

 

·        Perform detailed inspections of products at various stages of the production process, including incoming materials, in-process items, and finished goods.

·        Utilize testing equipment and techniques to measure product quality against established standards.

·        Identify defects or quality issues and collaborate with production teams to implement corrective actions.

·        Follow up on corrective actions to ensure that quality standards are met.

·        Record inspection results, including any defects or deviations, and maintain detailed and accurate records.

·        Prepare inspection reports and communicate findings to the Quality Control Head and relevant production teams.

Process Improvement & Compliance:

 

·        Assist in the development and implementation of quality control processes and procedures.

·        Provide feedback to the Quality Control Head on recurring quality issues and suggest improvements.

·        Ensure that all products comply with industry regulations and standards.

·        Stay updated on the latest quality control practices and regulatory requirements.

Job Purpose 

The Merchandise Planning Analyst supports the Merchandise Planning Manager by analyzing data to inform assortment plans, monitor inventory levels, and contribute to financial forecasting.

Responsibilities & Duties

Data Analysis and Strategic Reporting:

·     Perform deep-dive sales and inventory analysis to identify trends, customer behaviors, and potential growth opportunities.

·     Generate, maintain, and refine weekly, monthly, and ad-hoc reports for inventory levels, sell-through rates, and financial performance.

·     Work collaboratively with the planning team to prepare high-impact performance reports and presentations for senior leadership, offering strategic recommendations based on data.

Inventory Management and Optimization:

  • Actively monitor and evaluate inventory levels across all product lines, assisting in the timely identification of replenishment needs to prevent stock-outs or overages.
  • Conduct regular inventory audits and reconcile data discrepancies, ensuring high data accuracy and alignment with financial goals.
  • Assist in formulating and implementing strategic inventory allocation plans to enhance product availability, customer satisfaction, and margin perform


  • Financial Forecasting and Assortment Planning Support:
    • Collaborate with the Merchandise Planning Manager to develop and refine financial forecasts, leveraging historical data, market trends, and seasonal projections.
    • Utilize forecasting models and planning tools to support sales projections and inventory needs, ensuring a balanced product mix aligned with business goals.

Market Research and Competitive Insights:

  • Conduct ongoing competitor analysis, examining factors such as product mix, pricing strategies, and market positioning to refine assortment and sales strategies.
  • Research and report on emerging fashion trends, seasonal demands, and customer preferences to contribute to trend-responsive assortment planning.
  • Engage in customer feedback initiatives, gathering insights to inform assortment offerings and support decisions that align with evolving consumer expectations.
